Key Stages Of Communication Process

The majority of people communicate many times in a given day. This is especially apparent in the workplace. Good communication is an essential tool in achieving productivity and maintaining strong working relationships at all levels of an organisation. In order to effectively communicate with others, it’s important to understand how the communication process works because communication process can have a big impact on your effectiveness at work.

What is the communication process?

The communication process is the guide toward realizing effective communication. It  refers to a series of actions or steps taken in order to successfully communicate. The overall goal of the communication process is to present an individual or party with information and have them understand it.

The communication process is made up of four key components. Those components include encoding, medium of transmission (channel), decoding, and feedback.

Let’s take a look at the four stages of the process in more detail:

  1. Encoding

Encoding is the process where the information you would like to communicate gets transferred into a form to be sent and decoded by the receiver. A key part of being a successful encoder is knowing your audience.

  1. Channel

Channels are the way you convey your message. These channels include verbal such as telephone, and face-to-face conversations as well as non-verbal such as e-mail and text messaging. Each individual channel has its strengths and weaknesses in terms of communicating.

  1. Decoding

Decoding is on the receiving end of communication. This stage is just as important as encoding. When you’re decoding someone’s message, avoid distractions. Put your phone away, or put it in offline mode. Close down irrelevant browser tabs. Focus on the message only.

  1. Feedback

Your audience will likely give you feedback  as soon as it’s seen or heard your message. This might include verbal or nonverbal  reactions. Pay close attention to these, as they will reveal whether your audience truly understood your message.
